Booking Terms and Conditions

Definitions
UBUHLE BE NARHA TOURS and the person or persons who have signed the booking form herein after referred to as the “Client”. Upon signature the client agrees to be bound by these booking conditions and any contract between the client and UBUHLE BE NARHA TOURS is subject to and shall be governed and construed according to South African law.

The Booking Process

QUOTATION

Once you have contacted us via our website or email and have expressed an interest in one of our Holiday Packages or Tours we will then send you an official quotation based on your enquiry.

ACCEPTANCE OF QUOTATION   

During our e-mail correspondence we will propose and discuss a variety of different touring options with you until you are completely satisfied with the package. Once you are happy with your holiday package you will then send us an e-mail confirming that you would like to book the holiday with us!   

CONFIRMATION OF BOOKING

Once we receive your e-mail confirming that you will be booking with us, we will send you CONFIRMATION OF RESERVATION via email. Attached to the Reservation Confirmation e-mail will be a booking form, an invoice and a Credit Card Payment link. A signed and completed booking form must be sent to UBUHLE BE NARHA TOURS or it's agent together with a deposit of 50% of the tour price. The balance of the tour fare is to be paid 28 working days prior to the date of arrival.

DEPOSIT  

Once you have received the invoice we would require a 50% deposit which is used to secure accommodation, regional air tickets, touring vehicles and tickets to popular attractions. Our preferred method of payment is EFT (Electronic Funds Transfer) however we do have the facilities for Credit Card or Debit Card. Please note that if you choose to pay by credit card facility an additional 5% will be added to the invoiced amount to cover bank charges.

FINAL PAYMENT        

We would require final payment 30 days (One Month) prior to your arrival date. At this point we will e-mail you an electronic copy of your detailed itinerary fact sheet which will include all reservation numbers, dinner vouchers, activities and domestic air tickets if applicable. Any bookings made within four weeks of departure must be accompanied by full payment of the tour cost.  

ON ARRIVAL  

When you arrive in South Africa whether it be at Cape Town (Cape Town International Airport) or Johannesburg (O. R. Tambo International Airport) one of our team members will be there to personally meet you, and they will be holding a sign board with your name on it.  Prior to your arrival you will be given a cell phone number for the representative who will be meeting you. If for any reason you cannot locate our representative on arrival you can simply call the number and he / she will locate you.

CANCELLATION POLICY

30 Days prior to arrival – 50% refund of total tour package

Less than 15 days prior to arrival – No Refund

All out sourced services such as accommodation, safaris, transport and local activities booked by Ubuhle Be Narha Tours are subject to the booking conditions and cancellation policies of the service provider.  If you fail to join a tour, join it after it's departure, or leave it prior to its completion for any reason, no reimbursement whatsoever will be made. 

Changes made by you: If you need to change your reservation for whatever reason, UBUHLE BE NARHA TOURS will make every effort to assist you. You may move your reservation to another date, subject to availability and agreement with our reservation office. Any changes will incur a fee of R 500 and any subsequent cancellation fee will be based on date of original travelling date. Should we not be able to help you with alternative dates, the normal cancellation fees will apply. 

UBUHLE BE NARHA TOURS reserves the right to change or cancel any tour although every effort will be made to operate itineraries as advertised. 

GENERAL

UBUHLE BE NARHA TOURS does not impose an upper age limit. However clients under 18 years of age need to be accompanied by a guardian and booking will be accepted at management discretion.  

Rates for children are available on request.

Children 12 years and older are considered to be adults and pay adults rate, except where specifically stated.


INSURANCE

It is a condition of booking that all our clients are covered by fully comprehensive travel and medical insurance for the duration of their trip. This insurance should include cover for the following:

  • Cancellation and curtailment of tour
  • Emergency evacuation expenses
  • Medical expenses
  • Repatriation expenses and
  • Damage / theft / loss of personal baggage / money and goods

The client accepts that it is his/her responsibility to arrange insurance.


PRICES

Prices quoted on the website will vary according to season and the availability of accommodation. All tour prices and services are correct at the time of printing and UBUHLE BE NARHA TOURS reserves the right to change all prices, services and departures without prior notice. However once a booking has been made and the full tour cost paid, UBUHLE BE NARHA TOURS will not increase the price. 

Language
All tours are conducted in English.

Passport, visas and other travel documents

1.    The client is responsible for ensuring that all documents, passport, visas and health certificates are valid.
2.    The client accepts full responsibility for obtaining all the relevant travel documents required.
3.    Should a client be refused entry to any country due to incorrect documentation, UBUHLE BE NARHA TOURS will not be liable for any costs of such delays or repatriation cost for the client.

Baggage
1.    All personal effects and baggage are at all times the clients responsibility and UBUHLE BE NARHA TOURS will not accept liability for any loss or damage to baggage or personal effect.
2.    Clients are entitled to one bag of not more than 15 kg and a small daypack. UBUHLE BE NARHA TOURS reserves the right to refuse excess luggage unless arrangement for additional luggage has been made. 

Health
  1.    It is the responsibility of the client to consult a health professional with respect to recommended and compulsory vaccinations and health pre-cautions. Any pre-existing medical condition must be declared at the time of booking and the client must make arrangements for the provision of drugs or other treatment that may be required during the tour.
  2.    Clients are aware of the proposed itinerary and that the tour requires a measure of physical fitness and health and that they are medically fit to embark on the tour.
  3.    Anti-malaria precautions are recommended for all tours and clients are advised to bring insect repellent.

Onward Travel Arrangements
1.    UBUHLE BE NARHA TOURS recommend onward travel arrangements only for the day after the tour ends.
2.    If the arrangements are made for the same day the tour ends, UBUHLE BE NARHA TOURS cannot be held responsible for any delays resulting in failure to meet those arrangements.

Force Majeure 

Unforeseen circumstances including weather, road conditions, war, mechanical breakdowns, riots and other reasons beyond the control of UBUHLE BE NARHA TOURS may cause delays or alterations to the tour. In the event of any of the aforementioned occurring, UBUHLE BE NARHA TOURS shall not be held liable in any way for any resulting costs of these delays or alterations.

Exclusion of Liability
1.    Clients bookings are accepted on the understanding by the client that all tours are of an adventurous nature and involve an element of personal risk that is an inherent part of travel in Africa.
2.    Clients undertake all tours entirely at their own risk and while UBUHLE BE NARHA TOURS take every precaution to ensure the safety of the clients, no responsibility can be accepted for any death, injury or loss that might occur to such clients, sustained from any cause what so ever.
3.    The client and his/her dependants, heirs, executors, administrators or assigns, hereby indemnify and hold blameless, UBUHLE BE NARHA TOURS , it's members employees, representatives and agents from any claims of whatsoever nature and from any liability for delay, loss, damage, injury, illness or death arising from any cause whatsoever out of events related to or occurring during a tour.
4.    The client agrees to strictly abide by the laws and regulations of each country we visit.
5.    Clients are responsible for checking in on time and are responsible for reconfirming flight times. UBUHLE BE NARHA TOURS cannot be responsible for delays caused by airline flight alterations, cancellations or delays.
6.    When you book excursions not operated by UBUHLE BE NARHA TOURS (whether recommended by the company or not), UBUHLE BE NARHA TOURS will have no legal liability for problems arising from the excursion and any claim will be against the relevant local operator (e.g. white water rafting, bungee jumping, Delta etc) 

Photography 

UBUHLE BE NARHA TOURS reserves the right to make use, without giving any further notice, of any photograph or film produced by UBUHLE BE NARHA TOURS without payment or permission. 

Complaints
If the client has a complaint whilst being on tour they must bring it to the guides attention so that it can be dealt with. If the matter isn't resolved whilst on tour, the clients must write to UBUHLE BE NARHA TOURS within 30 days of completion of the tour. UBUHLE BE NARHA TOURS Will no entertain complaints of loss of enjoyment where full land arrangements have been provided.
